iMed integration

An AI assistant that books straight into iMed.

If your clinic uses iMed, Loominary connects an AI assistant to your calendar through the official iMed API. The assistant answers WhatsApp and the phone, sees the real open slots, books, confirms, reschedules and cancels appointments in iMed, and sends reminders with a confirm button. The front desk keeps working in iMed, as it does today.

What the assistant does in iMed

The connection runs through the iMed API, with the clinic's own credentials. There is nothing to install on the front-desk computers and nobody copies bookings from one place to another: what the assistant books shows up in the iMed calendar, and what the front desk changes in iMed reaches the assistant.

  • Real open slots: it reads the doctors' calendars and the appointment types in iMed and only offers free times.
  • Bookings: it creates the appointment in iMed and confirms on WhatsApp with the date, time and address. Before booking it checks whether the same appointment already exists, so nothing is duplicated.
  • New patients: if the phone number isn't in iMed yet, it creates the patient record.
  • Rescheduling and cancelling: it changes the date and time, or cancels the appointment in iMed, with the reason recorded.
  • Confirmations: when the patient taps "Confirm" on the reminder, the appointment is marked as confirmed in iMed.
  • Changes made by the front desk: when the team books or reschedules in iMed, the patient gets a WhatsApp notice.

Reminders

Reminders that update the iMed calendar

  1. 01

The reminder comes from the iMed calendar

The day before, the system reads the next day's appointments in iMed and sends the reminder on WhatsApp, with "Confirm" and "Reschedule" buttons.

    24 hours before

  2. 02

    Confirming is recorded in iMed

Anyone who confirms has their appointment marked as confirmed in iMed. First thing in the morning, the front desk can see who is coming.

    No confirmation calls

  3. 03

    Rescheduling is a conversation

Anyone who taps "Reschedule" gets open slots and picks another. If they don't finish, they get a second message a few hours later.

The slot is freed for another patient

  4. 04

If iMed doesn't respond, someone finds out

If the iMed API fails when reminders are due, the system tries again and alerts the team, instead of silently sending nothing.

No reminders lost without anyone noticing

What stays outside iMed

  • Clinical history: the iMed API doesn't provide it, and the assistant doesn't need it either. It doesn't give clinical advice: anything clinical goes to the team.
  • Prices and agreements: these are set up with us at the start, following the clinic's rules, and updated when they change.
  • Which appointments book themselves: the clinic decides. Some specialties can stay as booking requests only, which the assistant collects and passes to the front desk with everything filled in.

Also for clinics that just don't want to miss calls

Some clinics with iMed don't want automatic bookings. In that case, when nobody answers, the caller hears a recorded message and immediately gets a WhatsApp from the clinic; the dashboard shows the missed calls, who handled them and who still needs to be contacted. The iMed connection can be switched on later. More on this in the virtual assistant for clinics.

Frequently asked questions

Questions about the iMed integration

  • Do I need to ask iMed for anything?

API access to iMed has to be enabled for your clinic. We sort that out with you at the start; the clinic doesn't change software or the way it works.

  • What if the front desk and the assistant book at the same time?

The assistant only offers slots that iMed shows as free and, before booking, checks whether the same appointment already exists. Changes the front desk makes in iMed reach the system in real time.

  • Do WhatsApp reminders replace iMed's SMS reminders?

They can. If the clinic moves reminders to WhatsApp, iMed's SMS reminders are switched off so the patient doesn't get both. The advantage is the button: anyone who confirms is marked as confirmed in iMed.

  • Does it work on the phone as well?

Yes. The same agent answers the phone and uses iMed in the same way: it sees slots, books, reschedules and cancels. It can also stay on WhatsApp only.

  • How long does it take to get it running?

One to two weeks, without stopping patient service. It starts with a free 15-minute assessment.
